Privacy policy

About this policy
Digiprofiles lets one person keep many profiles (Contact profile, event, conference, product, organisation) and share each one by link, QR code or Apple or Google Wallet. This policy explains what personal information we collect, why, who can see it, and the choices you have.
It covers the Digiprofiles app and website, the public landing pages people see when they open a shared Digiprofile, wallet passes (Digiprofiles saved to Apple Wallet or Google Wallet), and our support and administration of all of these. "We" and "us" means Resintel (Resource Intelligence) Pty Limited (ABN 78 648 271 925), based in Australia. "You" means anyone whose information we handle: account holders, people who open a shared Digiprofile, and people who share their details back.
The privacy laws we follow
We comply with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). This policy is written to meet them.
If you are in the European Union or the United Kingdom, the General Data Protection Regulation (GDPR) also gives you rights over your information: to see it, correct it, delete it, get a copy of it, and object to or limit how we use it. You can also complain to your local data protection authority. We use your information because it is needed to provide the service you signed up for, to keep accounts genuine and secure (our legitimate interest), because you agreed (news and offers, and sharing your details back), or because the law requires it (billing records).
If you live in a US state with a consumer privacy law (such as California), you have the rights that law gives you, including to know what we hold, to correct it and to delete it. We do not sell your personal information or share it for advertising.
To use any of these rights, see "Your choices and rights" below.
Information you give us when you create an account
We collect only what we need to run your account and keep it to one per person.
| What | Why we need it |
|---|---|
| First name and surname | To set up your account and fill in your Digiprofiles |
| Email address | Your sign-in, receipts and important account messages |
| Mobile number | We send a 6-digit code to confirm it, and a code each time you sign in (two-factor sign-in). Each mobile can hold only one account, which stops repeat free trials |
| Password | To protect your account. It is stored scrambled (hashed); we can never see it |
| Language and country | To show the app in your language and set your time zone |
| How you heard about us | To understand which channels work. You choose from a short list |
| Address (optional) | To fill in new Digiprofiles for you |
| Payment details | Handled by our payment provider. We keep only a reference to your payment method, never your full card number |
| Business name and VAT or tax number (optional) | Printed on your invoices if you buy for a business. A UK or EU VAT number is checked so no VAT is charged; we keep the result of the check for tax records |
| Where you live, for tax | Your mobile number's country and the country you chose are kept with each invoice, as UK and EU VAT law requires |
| News and offers choice | Whether you agreed to occasional marketing. It is never pre-ticked |
If you sign up with Apple or Google, they share your name and email with us. We do not receive your Apple or Google password.
Information you add to your profiles, and how you use them
Profile content. Everything you put on a Digiprofile: names, roles, company, emails, phone numbers, websites, addresses, event and conference details, comments, photos, logos and colours. You decide what goes on each Digiprofile, and the buttons recipients see.
Digiprofile name. The name you give each Digiprofile so you can tell them apart (for example "Acme"). It is the title on your own wallet pass, so anyone you show the pass to can see it. It never appears on a landing page or in anyone's contacts.
Activity. We record when you share a Digiprofile and how (QR code, wallet or link), when a landing page is opened, and which buttons are tapped. These counts show you how your Digiprofiles are used. They do not identify the person who opened your Digiprofile.
Device and technical details. Whether you are on an iPhone, an Android device or a computer, so we can show the right buttons, plus the basic technical records any website keeps (such as IP address and browser type) for security and fixing faults.
If someone shares a Digiprofile with you
You do not need an account to open a Digiprofile. When you open one, we count the visit and any button you tap, without recording who you are.
Saving a contact or adding an event downloads a file to your own phone or computer. That file is yours. We do not keep a copy and cannot see it afterwards.
Sharing your details back. Some Digiprofiles let you send your own details to their owner. You choose what to send (name, email, and optionally mobile, company and a note) and tick a box agreeing to it. Then:
- We email you a link to confirm it was really you.
- The Digiprofile's owner sees your details only after you confirm. Until then they see only that a request is waiting.
- We keep a record of what you agreed to and when (a consent receipt), even if your details are later deleted.
- Your details are kept for 12 months, then deleted, unless you connect with that person again. You can delete them sooner from the link in your confirmation email.
The Digiprofile's owner can download your details to their own device. Once they do, what happens to that copy is up to them.
If you leave a review
A review keeps your stars, any comment and your country, and isn't linked to your account. If you tick that we may quote it, we also keep your first name, to show with the quote (for example "Jo, Australia").
If you report a problem or make a suggestion
If something isn't working, or you have an idea, you can tell us at digiprofiles.com/problem.html. We collect your account's email address, the subject and description you give, any file you attach (such as a screenshot), and the date and time. We use them only to look into it, to email you a tracking number and reply to you, and to keep a record of what we did. Only our team can see them.
If you report a Digiprofile
You can report a Digiprofile you think is fake, misleading or harmful at digiprofiles.com/report.html. We collect your email address, the link you report, what you tell us about it, and the date and time. We use them only to look into the report, to email you a reference and let you know when we've finished, and to keep a record of what we found and did. We don't tell the Digiprofile's owner who reported it, unless the law requires us to.
How we use information
All data you provide will NOT be used for commercial or marketing purposes, and will not be sold or distributed to any third parties. We use personal information only to run Digiprofiles for you, for the purposes below, and we do not show advertising inside Digiprofiles. The only exceptions are news and offers from Digiprofiles itself, if you tick the box to receive them, and the service providers that run Digiprofiles for us under contract (see "Service providers" below, and the list in the Terms of use). Your Digiprofiles show only what you choose to share.
- Providing the service: creating your account, showing your Digiprofiles to the people you share them with, and making wallet passes, QR codes and links.
- Keeping accounts genuine: checking your mobile number, allowing one account per mobile, and stopping misuse such as impersonation or spam.
- Billing: running your free trial and subscription, and reminding you before the first charge.
- Telling you about your account: sign-in, security, billing and policy messages. You can't opt out of these while you have an account.
- News and offers from Digiprofiles: only if you ticked the box (never pre-ticked). It is the only marketing we do, it comes only from Digiprofiles, and you can turn it off at any time in Account details.
- Improving Digiprofiles: looking at overall use, such as how many Digiprofiles are shared or which sign-up channels work. Where we can, we use counts rather than information about individuals.
- Support and the law: answering your questions, investigating reports of misuse, and meeting legal obligations.
Who can see your information
| Who | What they see |
|---|---|
| Anyone with your Digiprofile's link or QR code | That Digiprofile's landing page: what you chose to put on it and the buttons you switched on. Landing pages are public to anyone who has the link |
| People you share a Digiprofile with | The same, plus a contacts file or wallet pass if they save one |
| You | Everything in your account, including private Digiprofile names and the people who shared their details with you |
| Digiprofiles staff and administrators | What they need to run the service and handle support or misuse reports. In our admin tools, phone numbers are hidden and profile contact details show only as counts. Every change an administrator makes is logged |
Photos and logos you add are published at a web address so they can show on your Digiprofiles. Anyone with that address can view them.
Your mobile number stays private unless you add it to a Digiprofile yourself.
Service providers and overseas disclosure
We use a small number of service providers to run Digiprofiles. They handle personal information only on our instructions and must protect it.
| Provider | What they do | Where |
|---|---|---|
| Supabase | Database, sign-in and photo storage | Sydney, Australia |
| DigitalOcean | Runs the Digiprofiles app | Sydney, Australia |
| Crazy Domains | Hosts the digiprofiles.com website and our mailboxes | Australia |
| Twilio | Sends the 6-digit code to your mobile | United States and other countries |
| Stripe | Takes payments and stores card details | Australia, the United States and other countries where Stripe operates |
| European Commission (VIES) | Confirms an EU business's VAT number, if you enter one | European Union |
| Resend | Sends confirmation and account emails | United States |
| Apple and Google | Wallet passes, and sign-in if you use Apple or Google | United States and other countries |
| Google Fonts | Supplies the typeface the app displays in. Your browser contacts Google to fetch it | United States and other countries |
| Anthropic | Answers questions in the help chat (Claude). It receives only what you type in the chat; Digiprofiles doesn't store the chat | United States |
Where a provider is overseas, we take reasonable steps to make sure it handles information in line with the Australian Privacy Principles.
We may also disclose information when the law requires it, to protect someone from serious harm, or as part of a sale or merger of Digiprofiles. We would tell you first where the law allows.
How long we keep information
We keep personal information only for as long as we need it. After that we permanently delete it, including photos. A clean-up runs automatically every night.
| Information | How long |
|---|---|
| Your account and profiles | While your account is open |
| A closed or cancelled account | 180 days, so you can change your mind and restore it. Then everything is deleted, including photos |
| An inactive account (the free trial or subscription ended and wasn't renewed) | Paused for 30 days, then expired. Deleted 180 days after it expired |
| An account suspended for misuse | 180 days unless restored, then deleted |
| Details someone shared back with you | 12 months, unless you connect again. Deleted at once if your account is closed |
| Consent receipts | Kept after the details are deleted, as proof of what was agreed. The email address is kept only in scrambled (hashed) form |
| Reports of a Digiprofile, with the reporter's email | 2 years after the report is closed, then deleted |
| Problem reports and suggestions, with any file attached | 2 years after the report is closed, then deleted |
| Billing records (invoices) | 10 years, as tax law requires (Australia 5 years, the UK 6, the EU 10 for VAT), even after your account is deleted |
| Records of administrator actions | 2 years, then deleted |
How we protect it
- Connections to Digiprofiles are encrypted.
- Each time you sign in, we text a 6-digit code to your account's verified mobile, so a password alone is not enough to get in.
- Passwords are stored scrambled (hashed), so no one can read them. Repeated sign-in attempts are blocked for a while.
- Our database is set up so each person can reach only their own account.
- Our own staff see only what they need, with phone numbers hidden, and every change they make is logged.
- Card payments are handled by our payment provider; we never store card numbers.
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
Your choices and rights
- See and correct your information. Most of it is in the app: edit your Digiprofiles at any time, and your details in Account details. For anything else, ask us.
- Get a copy. Download it any time as a PDF: open the account menu and choose Download my data. Or ask us and we will send it to you.
- Delete things. Delete a Digiprofile in the app and its link and QR code stop working at once. Close your account to delete everything after 180 days, or ask us to delete it sooner.
- Stop news and offers. Turn it off in Account details, or use the unsubscribe link in any marketing email.
- Remove details you shared back. Use the link in your confirmation email, or ask us.
- Use a pseudonym. You can't for an account holder, because we need your real mobile to keep one account per person. Anyone opening a Digiprofile doesn't have to identify themselves.
We answer requests within 30 days and do not charge for them.
Complaints. Contact us first and we will try to fix it. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Age
Digiprofiles is for people aged 16 and over. When you create an account, you confirm that you are 16 or over. We do not knowingly collect information from anyone younger. If you think someone under 16 has an account, tell us and we will close it.
Cookies
We use one cookie to keep you signed in. We do not use advertising or tracking cookies, and we do not let other companies track you on Digiprofiles. When you arrive from a campaign link or someone's Digiprofile, we note that source once, at sign-up.
Changes to this policy
We will post any update here with its date. If a change matters to how we use your information, we will email you before it takes effect.
